Privacy Policy.
What we collect when you send an inquiry or list a space, who sees it, and the choices you have.
1. Who we are
officesubleasing.com (“Office Subleasing”, “we”, “us”) is operated by [WRITE: business legal name, e.g. Office Subleasing LLC]. We are a marketing and lead-generation service for office subleases. We are not a real estate broker and do not negotiate leases. Inquiries sent through this site are handled by a licensed real estate broker, as explained below.
This policy explains what personal information we collect, how we use it, who we share it with, and the choices and rights you have. It applies to this website and to the inquiry forms and owner accounts on it.
2. Information we collect
When you send an inquiry
- Your name, and optionally your company.
- Your email address and/or phone number.
- What you are looking for or offering: whether you have space or need space, the city, the size range, your timing, when your lease ends, your message, and the listing you asked about, if any.
- How you reached the form: the page you sent it from, the referring website, and campaign tags in the link (UTM parameters).
When you list a space
- Your email address, used to sign you in with a one-time link. We do not use passwords for owner accounts.
- The listing: address, size, rent, terms, description, nearby places, airport and freeway access, and the photos you upload.
- Your contact name, company, email and phone for the listing. These are never shown on the public listing.
Automatically, when you use the site
- Technical and security logs. Like most websites, our hosting and database providers record requests (such as IP address, browser type, the page requested and the time) to run the service, keep it secure and fix errors. These logs are kept for a limited time.
- Cookies. See Cookies below. We do not use advertising or analytics cookies.
3. How we use it
- To pass your inquiry to the broker who will reply to you, and to keep a record of it.
- To publish listings that owners choose to publish, review new listings, and route questions about a listing.
- To sign owners in and let them manage their listings.
- To understand which pages and campaigns bring inquiries, so we can improve the site and our marketing.
- To keep the site secure, prevent spam and abuse, and comply with the law.
6. How long we keep it
We keep inquiries for as long as needed to follow up and keep business records, and then delete them, generally within 3 years. Listings and their photos stay until the owner deletes them or closes their account; deleting a listing in the dashboard deletes its photos. Security logs are kept for a short period set by our providers.
Information already sent to the broker is kept under the broker’s own records policies, which may be required by real estate law.
7. Your choices
- Owners can edit, unpublish or delete their listings at any time in My listings.
- To see, correct or delete an inquiry or close your account, email [WRITE: privacy/contact email].
- To stop being contacted about an inquiry, tell the broker who contacted you, or email us and we will pass it on.
8. California privacy rights
If you live in California, the California Consumer Privacy Act (as amended by the CPRA) may give you the right to:
- know what personal information we collect, use and disclose, and get a copy of it;
- correct inaccurate personal information;
- delete personal information we hold about you, subject to legal exceptions;
- opt out of the sale or sharing of your personal information, and limit the use of sensitive personal information (we do not collect sensitive personal information as defined in the law); and
- not be discriminated against for using these rights.
Categories collected in the last 12 months: identifiers (name, email, phone, IP address); professional information (company); commercial information (the space you have or need, rents and lease dates); internet activity (pages, referrer, campaign tags). Sources: you, your device, and our service providers. Purposes and recipients are listed above.
Sale and sharing. We pass your inquiry to a broker because you ask us to when you send it; that is a disclosure you direct, not a sale. We do not otherwise sell or share personal information.
Making a request. Email [WRITE: privacy/contact email] with “Privacy request” in the subject. We will confirm receipt within 10 business days and respond within 45 days. To protect you, we will verify your request by matching information you give us (for example, the email address you used). You may use an authorized agent, who must show us your signed permission.
Shine the Light. California residents may ask once a year whether we disclosed personal information to third parties for their direct marketing. We do not do this.
9. Security
We use encrypted connections (HTTPS), keep listing photos in private storage, restrict database access to our server, and sign owners in with one-time email links. No system is perfectly secure, so we cannot guarantee the security of information sent over the internet.
10. Children
This site is for businesses and adults looking for office space. It is not directed to children under 16, and we do not knowingly collect their personal information.
11. Changes to this policy
We may update this policy. We will change the “Last updated” date above and, for material changes, give notice on the site or by email to owners with accounts.
